Student Employees

​​Students are eligible to work on campus during the academic year if they are enrolled in a minimum of 6 undergraduate units or 5 graduate units.

Student employees are appointed into a classification based on:

  • Enrollment Status
  • Citizenship Status
  • Financial Aid Status
  • Nature of Work

Student employees may hold more than one student appointment as long as the total number of hours worked does not exceed 20 hours per week (40 hours during academic breaks and recess periods).

**Per system wide policy, student employees are not authorized to work overtime.

Foreign student employees are those who are not U.S. citizens or permanent residents but are eligible to work in the U.S. They can either be classified as Non-Resident Alien Student Assistants or Instructional Student Assistants depending on the nature of their work.  Please see Guidelines for Student Assistants for more detailed information.

After signing in with Human Resources, foreign student employees are required to complete Sprintax Calculus Registration.  At that time, Payroll Services will determine the employee's tax residency status. 

Employees will receive an email registration invitation directly from Sprintax Calculus.  This should be completed as part of the pre-boarding process.  Employees will not be able to start working until confirmation that their Sprintax Registration is complete.  In addition, the following documents are requested:  

I-94 Departure Record (or new I-94 confirming change of immigration status)
DS-2015 (J-1) or I-20 (F-1)
Passport with picture, expiration date and visa stamp

Summer Bridge student employees are those who work on campus during summer and are not enrolled in courses at the university. They are able to work 40 hours per week‚ but are not authorized to work overtime hours per systemwide policy. Employees with federal work study awards for the summer are classified as Summer Bridge Work Study Student Assistants.

Deductions

Bridge student employees are enrolled into an alternate retirement plan known as the Part-Time‚ Seasonal & Temporary Employees retirement program. This results in a retirement deduction of 7.5% from gross wages‚ as well as a Medicare deduction of 1.45% from gross wages.

Please note that refund of these retirement deductions cannot be made until an employee is separated from all State of California employment.

Once appointed‚ student employees are responsible for reporting time to their supervisors. At the end of each month‚ departments submit total hours to Payroll. Student employees are paid on or around the 15th of each month‚ for the prior month worked. Student pay warrants are to be picked up at the department each pay day.

Student employees wishing to have their pay warrant or direct deposit notice mailed should provide their department with a self-addressed‚ stamped envelope.
